This document is a legally binding contract between VicFarms and its users.

By using the platform, you agree to the terms presented in this document.

Refund & Cancellation Policy

VicFarms is committed to ensuring fair and transparent transactions for all its users. This policy outlines the conditions under which a refund may be granted and the applicable cancellation rules.

 

Article 1 —Refund conditions

 

A full or partial refund may be granted in the following cases:

Article 2 —Refund application procedure

 

1.      Log in to your VicFarms account;

2.      Go to My Bookings > Select the relevant booking;

3.      Click on 'Report a problem' > Select the reason;

4.      Describe the problem and attach any supporting documentation (photo, screenshot);

5.      Submit the request — a ticket number will be assigned to you;

6.      Our team reviews the request within 24 business hours;

7.      The refund will be credited to your Mobile Money account within the stated timeframe.

 

Example of a refund

Scenario: Farmer NKOMO has booked a plowing for March 15th at 30,500 FCFA.

The Vendor confirms but does not arrive on the scheduled day.

NKOMO reported the problem in the app at 10:30 AM.

VicFarms processes the request within 4 hours.

→ NKOMO receives 30,500 FCFA in the account that made the deposit.

 

Article 3 —Cancellation Policy

 

3.1 Cancellation by the Farmer

3.2 Cancellation by the Vendor

A Vendor who cancels a confirmed reservation is subject to the following rules:

     Cancellation > 24 hours in advance: no penalty, the Farmer is refunded 100%;

     Cancellation < 24 hours before: official warning + 5% compensation paid to the Farmer from the Vendor deposit;

     3 late cancellations in 30 days: temporary suspension of Vendor account;

     5 late cancellations in 60 days: permanent termination of the Vendor account.

 

3.3 Cancellation by VicFarms

In exceptional circumstances (force majeure, technical failure), VicFarms may cancel a reservation. In this case:

     The Farmer is 100% reimbursed;

     The Farmer has priority for the next available reservation;

     The Farmer receives a 5% credit applicable to the next service.

 

Article 4 —Exceptions and special cases

 

⚠ IMPORTANT

Refunds are not applicable in the following cases:

 

     Services fully executed and confirmed by the Farmer via the 'Validate service' button;

     Disputes raised more than 48 hours after the service has been performed;

     Damage occurring outside the agreed intervention area;

     Refund requests related to expectations not expressed during booking;

     Adverse weather conditions announced within 72 hours prior to the intervention (the Farmer is informed and can cancel free of charge);

     Cancellation following a proven violation of the Terms and Conditions by the User requesting a refund.

 

Force majeure

In the event of force majeure (natural disaster, civil unrest, epidemic),

VicFarms applies a full refund policy without penalty

for all reservations affected in the area concerned.
